Available Positions
The Accounting and Payroll Specialist is responsible for a number of different accounting functions within the organization. The first of which is ensuring that all invoices are completed with accuracy and timeliness after a job has been completed. A highly qualified candidate will have experience in processing invoices and understand the construction/building services industry, specifically residential and commercial roofing systems. This position will provide accounts receivable services for MBA Roofing to ensure timely payment of invoices and necessary follow up actions are executed if payment is delayed. Additionally, the role will be responsible for employee hour reconciliation and payroll processing for the organization. This role is critical to ensuring the company maintains a positive cash flow and stays up to date.
Duties
- Create invoices for each job as it is completed for both residential and commercial roofing divisions.
- Communicate with project superintendents and crews to guarantee all details have been provided for the completion of the invoice.
- Complete all steps of the invoice process to guarantee all variables related to each job are accounted for and documented.
- Maintain timeliness of the completion of invoices as jobs are completed to ensure customers receive invoice within five days of the final inspection
- Understand insurance billing documentation and supplement processing to confirm all costs are accounted for insurance jobs.
- Provide accurate and timely communication with clients, sales, and the company of the status of all roofing job related invoices via the CRM and direct communication
- Support management through continuous improvement of invoice operational processes and procedures
- Responsible for the company’s accounts receivables by maintaining that customer and supplier payments stay up to date and on time.
- Process employees' paychecks by collecting their payroll data and timesheets by verifying employees' work hours and payment through the payroll system, issuing deductions, earnings and other statements to employees and updating payroll records regularly.

- Must be tech savvy in order to maintain accurate documentation and provide detailed reports.

Responsibilities and Requirements
- Perform a variety of tasks involving strenuous manual labor, including but not limited to setting up ladders, working at various heights & pitches on roofs. Safely work at heights above 6 feet. Ability to work strenuously (bending, lifting, stooping) throughout the day in all-weather environments. Working knowledge of basic math skills for material calculations
- Prior experience in roofing systems including shingles, low slope/flat roof applications, metal and exterior home repairs (siding, windows, doors, etc.) plus being able to identify Material/Tools/Equipment specific to the roof application is a plus but not required
- Maintain a good working knowledge of all OSHA industry safety requirements
- Communicate effectively with estimators, office personnel, and team members
- Perform other duties as required. Exhibit professionalism at every level including appearance
- Good communication skills, both in writing and verbally. Excellent time management and organization skills
- Open availability Monday through Friday with the possibility of working Saturdays and on-call as business needs determine
The Office Manager is responsible for ensuring the smooth and efficient operation of our office. The ideal candidate will be a detail-oriented, organized, and proactive individual who can handle a diverse range of responsibilities. As an Office Manager, you will be responsible for various administrative tasks, including answering incoming calls, managing vehicle maintenance records, processing payments, conducting customer background checks, and assisting with employee onboarding. Your ability to multitask, prioritize tasks, and maintain attention to detail will be essential in this role.
DUTIES & ESSENTIAL JOB FUNCTIONS
- Customer Engagement and Payment Processing:
- Answer all incoming calls and assist customers by directing them to the appropriate department. Including logging leads that come in through the phone system.
- Demonstrate effective communication skills when interacting with customers during the selling process.
- Appropriately resolving and managing customer feedback through the proper channels within the company.
- Greeting clients and visitors in the office and aiding in reception
- Process downpayment and final payment checks/cash from customers who visit the office or send payments via mail.
- Proactively contact customers to follow up on overdue invoices at 30 and 60 days.
- Coordinate lien processes and correspondence with customers and legal support when necessary.
- Perform background checks on customers for roof replacements, assessing their legitimacy and potential risks.
- Utilize tools like Acculynx and online resources for customer background research
- Vehicle Maintenance and Compliance:
- Maintain a comprehensive record of preventative maintenance schedules for the fleet of vehicles. Inclusive of scheduling preventative maintenance appointments and handling unscheduled repairs and accident repairs for vehicles.
- Ensure all vehicles have up-to-date insurance and inspections, managing paperwork as required.
- Keep Certificates of Insurance (COIs) up to date for subcontractors and our company.
- Office Management:
- Maintain office supplies and office equipment for employees, ensuring well-organized and tidy workspace.
- Manage the internal phone system to ensure the phone system is working properly at all times and resolve any issues quickly to keep everything running smoothly and online.
REQUIREMENTS
- High school diploma or equivalent; additional education or relevant certifications a plus.
- Previous administrative experience preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- Strong computer skills and ability to accurately record information in a fast-paced environment
- Ability to multitask and prioritize tasks effectively.
- Experience with background checks or similar research is a plus.
- Bi-lingual is a plus
